Collaborator Space Terms

These terms apply to all makers, artists, and collaborators (“you”) who are approved to display and sell goods at Conscious Flow House (“we,” “us,” or “our”), located at 101–88 Lonsdale Avenue, North Vancouver, BC. By applying for and participating in a display cycle, you agree to the following:


1. Eligibility & Approval

  • You must complete our application form and be officially approved before bringing products into our space.

  • We reserve the right to decline or remove any vendor or product that does not align with our values or store standards.

  • Approval does not guarantee sales, and display fees are not contingent on product performance.


2. Display Terms & Duration

  • Minimum display commitment is 12 consecutive weeks, with an optional 1 bonus week free of charge.

  • You may:

    • Bring your own display setup (pre-approved by us)

    • Use CFH-provided furniture (subject to rental fees and availability)

  • Exact start and end dates will be confirmed upon approval. Early withdrawal is not permitted.


3. Display Standards

  • Displays must be:

    • Professionally arranged and maintained

    • Free of clutter, damage, or unsafe elements

    • Clearly labelled with product names, pricing, and maker info

  • You are responsible for keeping your area tidy and stocked throughout your display term.


4. Fees & Payment

  • A one-time display fee (or weekly equivalent) must be paid in full before your start date.

  • Furniture rental (if applicable) will be charged separately.

  • No refunds will be issued after payment is received, regardless of sales volume or early exit.


5. Sales Handling & Payouts

  • All sales transactions are handled by Conscious Flow House staff.

  • Sales reports and payouts are processed monthly, typically via e-transfer (unless otherwise arranged).

  • We retain a [Insert %] commission on all sales (exact amount confirmed in writing before display begins).


6. Inventory & Liability

  • You must provide a full inventory list upon setup.

  • You are responsible for restocking or rotating items as needed.

  • Conscious Flow House is not liable for lost, stolen, or damaged goods but will take reasonable care to maintain a secure environment.

  • We recommend you carry product insurance if concerned about loss.


7. Termination

  • We may terminate your display early for:

    • Breach of terms

    • Unprofessional behaviour

    • Unsafe or inappropriate materials

  • No refunds will be issued upon early termination, and immediate removal of items may be required.


8. End of Term

  • You must collect all items within 3 days of the end date unless other arrangements are made.

  • Unclaimed items after 14 days may be donated or disposed of without further notice.


9. Legal Compliance

  • You are responsible for all necessary permits, licenses, labelling, and taxation related to your goods.

  • For edible or topical wellness products, health and safety permits are mandatory.

  • All products must comply with Canadian consumer safety laws.


10. Dispute Resolution

  • This agreement is governed by the laws of British Columbia, Canada.

  • Disputes will be handled through good-faith negotiation or submitted to mediation or the BC Civil Resolution Tribunal if unresolved.
